QuoteFlow Engine

You send quotations, and then the follow-up gets forgotten.

You put time into a quotation and send it. Then the next job starts, and nobody asks the customer whether they have decided.

Weeks later you no longer know which quotations are still open.

We adapt it to your business needs

Who it is for

Service businesses that send quotations and want every one of them followed up.

What it aims to improve

Every open quotation is tracked and followed up at sensible times, and the outcome is recorded.

What changes for you

  • No quotation goes unanswered because nobody followed up
  • Customers are reminded politely, in your own words
  • You know each month what was won, lost and is still open

What it does

We build a system around how you send quotations and adapt it to your business. Each quotation is recorded in one place. The customer receives follow-up messages in your own words, on a schedule you approve. You see at a glance what is won, lost and still waiting.

How the system will work for you
  1. You send a quotation

It is recorded in one place with the date and the customer.

  2. The schedule starts

Follow-ups are planned at the intervals you have approved.

  3. The customer is reminded

In your own wording, from your own address.

  4. The outcome is recorded

Won, lost or still waiting. The follow-ups stop when the customer answers.

What is included

  • One place where every quotation is recorded
  • A follow-up schedule that you approve
  • Reminder messages in your own words
  • A simple view of won, lost and waiting quotations

What is not included

  • Writing your quotations
  • Advice on your prices
  • Sending messages you have not approved

What you need to bring

  • How you send quotations today
  • Roughly how many you send per month
  • The follow-up wording you are comfortable with

Where this service stands

We adapt it to your business needs

We adapt this system to your process, your tools and your customers.

Good to know before we start

  • How quotations are recorded depends on the tools you use today. We check this in the call.
  • Third-party tool costs apply and are discussed in the call.
  • Follow-ups go only to customers who asked you for a quotation.

A first working version within 10 working days

Once we have spoken and we have everything we need from you, you can see a first working version of your system within 10 working days. These are the conditions:

  • We always start with the introductory call, so that we build the right system.
  • The 10 working days start once the access and the information we asked for have arrived and we have confirmed that they are complete. Weekends and public holidays are not counted.
  • The time stops while we wait for something from you, or for an approval from a phone, messaging or booking provider.
  • You receive a first version to test with us. It does not yet talk to your customers.
  • It goes live after you have tested it and approved the wording.
  • It depends on our capacity. We confirm your delivery date with you before work starts.

Questions we hear

“I do not want to pester my customers. How many follow-ups are sent?”
As many as you decide. You approve the schedule and the wording, and the reminders stop as soon as the customer answers.
“I write my quotations in Word or by email. Does that work?”
We look at how your quotations leave the business today and find the simplest way to record them. You do not have to change how you write them.
“Do I need technical knowledge?”
No. You explain how you work today. We handle the technical side and show you how to use the result.
“What does it cost?”
That depends on your situation, so we publish no price list. We discuss the price with you during the first call, once we understand what you need.

The next step

Book a 30-minute introductory call. We look at how a quotation leaves your business today and where it gets lost.
